Create an Onboarding Template
1. Go to Settings > Onboarding Templates.
2. Click "Create Template" and give it a descriptive name.
3. Define the onboarding steps: welcome email, intake form, document collection, kickoff meeting.
4. Set estimated timelines for each step.
5. Assign default team member responsibilities.
6. Save the template.
You can create multiple templates for different client types or service tiers.
Set Up Intake Forms
1. Navigate to Forms > Intake Forms.
2. Use the form builder to create fields: text, dropdown, file upload, checkbox, date.
3. Group related fields into sections with clear headings.
4. Mark required fields to ensure complete submissions.
5. Enable the form for portal access so clients can fill it out themselves.
6. Link the form to your onboarding template.
Submitted forms will appear in the client record and trigger any configured workflow automations.
Automate Welcome Sequences
1. Open Workflow Studio from the sidebar.
2. Create a new workflow triggered by "New Client Created".
3. Add actions: send welcome email, create onboarding project, assign tasks, send intake form.
4. Set delays between steps (e.g., send follow-up after 2 days if form not completed).
5. Add conditional logic based on client tier or service type.
6. Activate the workflow.
Every new client will automatically receive a consistent onboarding experience.
